Privacy Policy approved by the Trustees of the Museum of the Mercian Regiment (WFR Collection) on 20th April 2018

Personnel Data: the legal basis and what we collect:

We will need to collect information about you when you use our services, attend our events, make a purchase, join as a supporter, or make a financial donation or donation of an item for the Museum’s collection.

Consent will be sought for:

  • Sending out fundraising mailings
  • To include you in photography or filming taking place in the Museum

To perform a contract we collect personal information with you for these services:

  • Contract and supplier payments
  • Lottery Subscriptions

To comply with a legal obligation we will collect your personal information, which includes:

  • Recruitment
  • Ownership and provenance of the collection
  • Disposal and loan of collection
  • Requests made under data protection law or Freedom of Information

Information we collect for our services may include:

  • Name, title, gender and date of birth
  • Postal and email address
  • Phone numbers
  • Family and spouse/partner details
  • Employment information and professional activities
  • Attendance at an event
  • Online purchases
  • Gift Aid Status
  • Details of correspondence sent to you or received from you
  • Employment information and professional activities

We will not keep this any longer than 2 years, after which we will destroy the information which we have.

Donations made to the museum

Donations to the Museum- we collect your personal information when you donate items to us here at the museum. This information is used to verify the provenance and copyright of the item in question and enables us to provide an audit of ownership. This information will not be made publicly available and should the occasion arise where the donor’s name is to be linked with an item on display, then consent will sought.

Fundraising

There are some Membership/ donation communications that we are required to send regardless of your contact preference. These are important communications that are necessary to fulfil our obligations to you, some example are Standing order confirmations, thank you and renewal letters and queries regarding returned mail and bounced payments.

The only way your information may be used in the future is to claim Gift Aid on your donations

How the information is secure

The Museum of the Mercian Regiment (WFR Collection) has implemented security procedures and rules to protect personal data under our control from unauthorised access, improper use or disclosure of unauthorised modification. All employees and data processers are obliged to respect the confidentiality of the personal data of our visitors and supporters.

Access to your information

You have the right to request a copy of the information that we hold about you, this is called a Subject Access Request. If you would like a copy of some or all of your information then please get in touch in writing at the address below. The Museum will make a charge of £10 on each occasion that access is required and aims to comply with requests for access to personal information as quickly as possible within 40 days of receipt of the request and the fee.  The Museum may ask for proof of identity for the person making the request and for further details to assist in the location of the information.  The information supplied will be all that is contained in the personal data at the time the request was received.

The Museum does not have to comply with a request where it has already complied with an identical or similar request by the same individual unless a reasonable amount of time has lapsed between compliance with the previous request and the making of the current request.
